Frequently Asked Question
Key Rules for Split Shipments
- Virtual Must Match Physical: The digital packing slip, ASN, and label for each batch must contain only the exact items and quantities physically leaving your warehouse in that shipment.
- Default Quantity Reset: By default, Spring Systems populates new shipments with the full Purchase Order (PO) line items and quantities. You must manually modify each shipment to reflect only what is in that batch.
- Automatic Grouping: Selecting order lines and clicking "Create Shipment" automatically groups items by their ship-to location.
Step-by-Step Workflow: Splitting a PO into Multiple Shipments
1. Create the Initial Shipment Batch:
Navigate to the orders table in the Spring Systems portal app, select the line items for the PO, and click Create Shipment. Lines with the same ship-to location will group together automatically.
2. Adjust Items for the First Physical Shipment:
Crucial Step: Do not leave backordered quantities on this batch.
Because the initial shipment populates with full PO quantities by default, manually remove any unfulfilled items and adjust the remaining line quantities so they match only what is physically being packed and shipped today.
3. Complete Labels, ASN, and Invoice for Batch 1:
Generate UCC-128 shipping labels, transmit the Advance Shipping Notice (ASN / EDI 856), and process the invoice (EDI 810) strictly for the items included in this first partial shipment.
4. Process Subsequent Shipments for Remaining Items:
Repeat when delayed or backordered items are ready to ship.
When the remaining balance of the order is ready:
- Create a second shipment under the same PO.
- Select only the items and quantities included in this second batch.
- Complete label generation, ASN submission, and invoicing for this second shipment.
